The role:

An exciting opportunity has arisen for an individual with an interest in either Law, Finance or Insurance to join our IT team in a newly developed role reporting to the IT manager. You will help maintain and develop our bespoke databases and applications, and in turn learn all aspects of the business by supporting our team of underwriting support assistants with their day-to-day tasks. You will be required to assist with the development and implementation of all in-house systems, liaising and working with third party contractors.

This role is ideally suited to the person that seeks a challenge from an IT perspective, but also wants to learn about other aspects of Legal Expenses Insurance and support our underwriters from a unique perspective. This hybrid working concept will be based on a ‘need based’ environment providing new challenges on a daily basis.

This position will be challenging yet rewarding to the right candidate – you should be self-motivated with a desire to succeed with a minimum of two years IT experience (ideally gained in an insurance, accountancy or legal environment – consideration will be given to any equivalent environments). The role would suit someone who is naturally inquisitive and who is a competent problem solver. Any experience supporting bespoke applications or CRM’s systems (such as Salesforce or Microsoft Dynamics CRM) is a distinct advantage.

Essential Skills/Experience required to succeed in this role:

  • Minimum 2 years office experience.

  • Confident telephone manner.
  • Must work well in a team and be a good communicator.

Executive Assistant

As an experienced Executive Assistant, the successful candidate will provide a coordinating role combining administrative and secretarial support to the Board of directors at our Guildford head office – ensuring that all matters are dealt with in a professional, efficient and confidential manner. The role also includes the opportunity to assist with the management of the Guildford office and wider HR operations of the business.

Main Responsibilities:

  • Organising and maintaining diaries and making appointments.
  • Screening telephone calls, enquiries and requests – handling these where appropriate.
  • Monitor incoming emails for the MD and other senior executives, flagging items that require action and following up where necessary.
  • Booking travel and accommodation, etc. as required.
  • Ensuring HR records are complete, accurate and kept up to date, including details and documentation of new starters.
  • Dealing with correspondence and writing letters or emails for the Board of directors.
  • Organising meetings – taking and distributing minutes.
  • Producing documents, reports and presentations as requested.
  • Assisting with the hosting of client visitors, including arranging refreshments as needed.
  • Ensuring the MD and chairman are properly briefed ahead of meetings, preparing meeting pack(s) as appropriate, including agenda, documents to be discussed and other background correspondence, presentations, reports, briefings, etc.
  • Assisting with the development and completion of new operational procedures, as required.
  • Maintaining the stock of stationery and kitchen facilities.
  • Organising social events, including the Christmas party.

Required Experience:

  • Advanced MS Office Skills.
  • At least 5 years in a similar role.

As a pro-active and self-confident initiative-taker you will have previous experience of working as an assistant to senior management. You will have strong organisational and communication skills. You will be able to multi-task and be able to demonstrate a flexible approach to office dynamics. You will have the ability to work under pressure, be highly organised with good attention to detail.
